“We’ve got an ERP system.”
It’s a phrase I hear regularly when speaking to SME leaders.
- SAP.
- MRP systems.
- Xero.
- Odoo.
- Business Central.
The list goes on.
Most businesses have invested significant time and money implementing systems designed to improve control, efficiency and visibility.
Yet despite these investments, many leaders still find themselves asking surprisingly basic questions.
- Which customers are most profitable?
- Why is cash flow under pressure?
- Which products generate the highest margins?
- Why are stock levels increasing?
- Which suppliers are creating the biggest risk?
- Are we actually performing better than last year?
The issue is rarely a lack of data.
The issue is turning that data into meaningful information.
Having Data Isn’t The Same As Having Visibility
ERP systems are excellent at capturing transactions.
- Orders.
- Invoices.
- Stock movements.
- Purchase orders.
- Production activity.
- Financial transactions.
The challenge is that most ERP systems were designed to run the business, not necessarily explain how the business is performing.
As we discussed in Why SME Leaders Can’t See The Whole Picture, having access to data does not automatically mean you can see how all the pieces fit together.
Many leaders can access hundreds of reports but still struggle to answer the questions that matter most.
The Search For Answers
One of the biggest frustrations I see is how much time people spend searching for information.
A finance director downloads one report.
Operations produce another.
Sales have their own spreadsheet.
Procurement maintains separate supplier information.
Management then attempt to piece everything together.
The result is often hours of manual effort before meaningful analysis can even begin.
By the time the information is available, the opportunity to act may already have passed.
This challenge is one of the reasons many leaders feel they are making decisions without complete visibility, something we explored further in The Data Is There… So Why Are Decisions Still Based on Guesswork?
Why Reports Often Create More Questions
Many ERP systems provide extensive reporting functionality.
The problem is not the number of reports available.
The problem is that reports often answer individual questions in isolation.
A stock report tells you what inventory you hold.
A sales report shows revenue.
A financial report shows profitability.
A supplier report shows spend.
But leadership decisions rarely sit within a single report.
Understanding why margins have changed may require information from sales, operations, finance and supply chain.
Without connecting those pieces, leaders often find themselves moving between reports rather than gaining genuine insight.
This is particularly common when trying to understand profitability. We discussed this challenge in Why SME Manufacturers Still Can’t See Their True Margin
The Spreadsheet Problem
This is one of the reasons spreadsheets continue to play such a significant role in many businesses.
Teams export information from multiple systems and attempt to combine it manually.
We explored the risks of this approach in The Hidden Cost of Spreadsheet-Driven Reporting.
While spreadsheets can be useful tools, they often become a symptom of a wider visibility challenge.
People are creating their own reports because they cannot easily access the information they need.
Seeing The Bigger Picture
The most effective businesses are not necessarily those with the most sophisticated systems.
They are the businesses that can connect information across Growth, Finance, Operations, Supply Chain and Sustainability.
When information is brought together, leaders gain:
- Faster decision making
- Better visibility of risk
- Improved profitability
- Stronger cash flow control
- Greater confidence in planning
Most businesses already have the pieces.
The challenge is seeing how they fit together.
If you’d like to understand how those pieces connect across your business, explore our See The Bigger Picture framework.
Can You See The Bigger Picture?
Many SME leaders already have the systems they need.
What they often lack is a clear view across the business.
Our See The Bigger Picture framework helps organisations connect information across Growth, Finance, Operations, Supply Chain and Sustainability, helping leaders make faster and more informed decisions.
